Create Report

This section walks the user through the process of creating reports for both internal and external audiences. Internal reports provide unrestricted access to detailed data for internal analysis, planning, and decision-making, with no data suppression applied. External reports are designed for public distribution, making data accessible to the external public audience while ensuring that privacy and security are maintained through data suppression.

Once your Data view is created, the process of creating a report is uniform regardless of the method used to create the Data view, whether the Data view was configured through a database connection or a file upload.

To create a report, follow the process below:

Choose your starting point to initiate report creation

There are two ways to start the Report creation process. Expand on one of the options below to see detailed steps and a screenshot of the process.

  1. Navigate to the Data Views page.

  2. Ensure the data view you want to use has a status of Available.

  3. Expand on the Data View and select Create Report.

    • Step 1 of the Report creation wizard will display with the "What data view do you want to use?" field prepopulated with the selected data view.

  1. Select the Reports button on the left-hand navigation to access the Reports page.

  2. Select the Create button on the Reports page.

Step 1. Select a Report Template and Data View

Once in the Report Creation Wizard, fill out the following required fields in Step 1:

  1. What data view do you want to use?:

    • Select an available data view from the list you want to create a report with (if not prepopulated).

  2. Select report template:

    • Select an available report template from the list.

    • Ensure the report template you select supports the selected data view.

  3. Who is the audience for the report?:

    • Select "Internal use only" for internal reports.

    • Select "External public view" for reports intended for public access.

Once all the required fields are filled out, select Next: Preview to proceed to Step 2.

  • Select "Cancel" or "Close" to exit the wizard, which will discard any information entered or progress made up to that point.

Step 2. Name and Preview Report

On Step 2, you will name and describe your report. The fields displayed depend on whether the report is for an Internal or External audience. Expand on one of the options below to see more details about the required fields for each type of report and a screenshot of the process.

Fill out the following fields:

  1. Title:

    • Provide a unique name for the report. The field is prepopulated to help get you started, but it can be modified as needed.

  2. Description:

    • Provide a detailed description of the report. The field is prepopulated to help get you started, but it can be modified as needed.

Fill out the following fields:

  1. Title:

    • Provide a unique name for the report. The field is prepopulated to help get you started, but it can be modified as needed.

  2. Description:

    • Provide a detailed description of the report. The field is prepopulated to help get you started, but it can be modified as needed.

  3. Public Report Identifier:

    • Provide a unique identifier to use for the report’s public URL. The field is already prepopulated with a unique identifier, but it can be modified as needed.

Step 2: External Report Fields

Once the required fields are filled out, select Generate Preview to generate a live preview of the report.

After selecting Generate Preview, a modal window will display a live preview of the report. Be sure to scroll down to see the entire report preview. Expand the sections below for screenshot examples of an Internal Report Preview, an External Report Preview and a Failed Report Preview.

If the preview fails to generate, the error message below will display: "The data view provided is either unsupported or contains errors. Please check your data view for errors and try again."

Failed Report Preview

Select the Close Preview button to close the live report preview. Once the report preview is closed select Next: Save to proceed to Step 3.

  • Select "Back" if you need to revise any previous steps.

  • Select "Cancel" or "Close" to exit the wizard, which will discard any information entered or progress made up to that point.

Step 3. Review Summary

On Step 3, review the summary details of your Report which include the following:

  • Report name

  • Report description

  • Report template

  • Data view

    • The data view used to create the report with.

  • Distribution

    • Indicates the audience of the report.

  • Meta tags

    • Meta tags act as identifiers, tagging the report with relevant categories.

Step 3: Review Summary. The highlighted area lists key details of your report, such as the name, description, template, data view, distribution type, and associated meta tags.

Once you are finished reviewing the summary, select Save And View Draft to save the report.

  • Select "Back" if you need to revise any previous steps.

  • Select "Cancel" or "Close" to exit the wizard, which will discard any information entered or progress made up to that point.

Once the report is saved, you will be redirected to a page where the draft report is displayed. On this page you can explore various report features, including:

  • Suppress data (external reports only)

  • Edit the report

  • Publish the report (external reports only)

  • Filter the report

  • Quick summary section

  • Toggle the “Explain” feature on or off for a plain language summary of the data.

  • Toggle the “Glossary” feature on or off to view plain language term definitions.

  • View the tabular data associated with the report by selecting the "Data" icon

Draft Report

Return to the Reports page

Select the Reports breadcrumb link at the top of the page, shown in the image below, or select the Reports button on the left navigation menu to return to the Reports page.

View Reports page

Once you return to the Reports page, you will find the newly created report displayed in the list with a status of "Draft".
